In this excel tutorial I’ll use the same procedure but the highlighting will be based on dropdown list. I’ve an employee list of 500 names, email, job title and department. I’m creating a system where, from a dropdown I select a department name and all the employee details of that department will be highlighted.

I think, now you know all about dropdown list in excel. Its time to learn how to highlight rows based on dropdown list in excel. Follow the steps and it’ll take only a minute.
Step 1: Create the dropdown list.
Step 2: Select the data range you need to highlight.
Step 3: Click on “conditional formatting” and then “new rule”
Step 4: Click on “Select formula to specify which cells to format”
Step 5: Now write the first cell no. of the column where you need to match your data then write = (Equal to) and then the cell number where you have your Dropdown list.
Step 6: Click on format and select the highlight color from there and click Ok Twice.
Done. This is how we change of a row color based on a dropdown list in another cell.
Notes:
In step 5 you need to write the cell number of the column where you need to check specific text will have to write in this format $E2 not $E$2 or E2. All you need to remember is that $E means the column number is fixed, it will not change. And the row number here will change and check if any cell has the text, you specified in the dropdown and then take action.
