Keyboard Shortcut To Repeat The Last Action In Excel

This shortcut will repeat the last action again, when available. For example, if you just applied a border and red fill to one cell, you can use this shortcut to apply the same formatting to one or more selected cells.

On Windows, you can also use Control + Y for this shortcut. You can add the "Repeat" command to the Quick Access Toolbar to see when an action can be repeated — when it's possible to repeat an action, the command will highlight and become available.

On a Mac, the number of actions that can be repeated is more limited.

You can perform a “Repeat Last Action” in Mac Excel by pressing the Command + 6 key combination. For example, after defining formatting for one cell, you can repeat that formatting step by selecting new cells and then pressing Cmd+6.

Not every Excel operation qualifies as repeatable but for those that do, this key combination can make it easy to repeat the operation however often and wherever you want.

You can also add the Repeat command to your toolbar though the mechanism isn’t obvious. The link at the bottom of this article describes the multiple steps required, but I found that two steps worked differently on my version of Mac Excel 2011, so I will summarize the steps I had to follow to get the effect of adding the Repeat key to my custom toolbar:

Bring up the Customize Toolbar operation via View -- Toolbars -- Customize Toolbars & Menus
Make sure the Show checkbox to the left of Worksheet Menu Bar is turned on (this enables you to see and use the dropdown menus at the upper-left of the Excel window)
Reveal the Repeat command by clicking on the Edit-- dropdown menu at upper left of the Excel window
Hold down the Option key and then drag the Repeat command onto your desired toolbar (the Option key will copy the item to your toolbar instead of removing it from the dropdown list followed by moving it onto your toolbar)
That’s it. Now whenever you want to repeat the last operation you did (if it’s an Excel command or tool) you just click the Repeat button. One nice thing is that this icon changes appearance based on what is possible at the moment — a circular arrow if the last action can be repeated, greyed out if it can’t, and an up-and-out arrow showing a Redo option if the last thing you did was an Undo.
