How to Create an invoice in HubSpot
With HubSpot's user-friendly invoice creation feature, you can now generate invoices to collect digital payments using the HubSpot payments tool. But that's not all—it's also a handy tool for tracking payments made outside of HubSpot. Whether you're a super admin or a user with invoice object permissions, creating invoices has never been easier.
You can initiate this process directly from a contact, company, deal, or quote record, or even from the invoices index page. What's more, if you've already created a quote, you can save time by creating an invoice from it and copying all the quote's essential details into a brand new invoice. It's all about convenience, and HubSpot's got your back!
Steps to Access Invoice Creation Feature:
1. Navigate to commerce and then Invoices.
2. Once there, locate the "Create invoice" button in the upper right corner and click on it.
Creating an Invoice from a Contact, Company, or Deal Record:
1. Head to the Contact, Company, or Deal record for which you want to create the invoice.
2. Click on the specific record's name to proceed.
3. In the right sidebar, find the "Invoices" section and click on "Add."
4. From the dropdown menu, select "Create invoice." You can also add an existing invoice or convert a deal into an invoice (deals only).
Setting up Invoice Details:
1. In the invoice editor's "Bill to" section, configure associated records and payment terms.
2. Associate the invoice with at least one contact by clicking "Add contact" and selecting from existing contacts or creating a new one.
3. Optionally, associate the invoice with one company and add a billing address.
4. Customize the invoice date and payment terms as needed.
5. Include a purchase order number if applicable.
6. Add products from your product library or create custom line items for the invoice.
7. Review the subtotal and apply any discounts in the "Summary" section.
8. Set available payment options and specify billing and shipping address information in the "Billing" section.
9. Access advanced settings like language, locale, and invoice URL customization by clicking "Advanced settings."
10. Once all details are configured, remember to save your changes.
With these simple steps, you'll master the art of creating invoices in HubSpot, saving time and enhancing efficiency in your business operations.
