Outlook rules are powerful tools that can help automate your email management. Here is how to set up rules to delete, move, or sort emails based on specific conditions.
Creating rules in Outlook:
1. Log into your Outlook account (web).
2. Go to 'Settings'.
3. Go to 'View all Outlook settings'.
4. Select 'Rules' and click on 'Add new rule'.
There are also Outlook Sweep rules, which are exclusive to outlook.com. They let you select multiple messages from one or more senders from your Inbox and, for example, move them to a folder. Just keep in mind that for Outlook sweep rules, there are only up to 4 preset actions available.
For more complex and flexible email management, we’ll explore how Clean Email can enhance your Outlook experience. Clean Email, a third-party inbox organizer, provides advanced options and simple Outlook rule creation.
Here's how to automate the process with Clean Email:
1. Log in to https://app.clean.email/ (free to sign up).
2. Go to 'Auto Clean' on the left pane.
3. Click + to create a rule and set up the one that fits your need.
Alternatively, you can set up any specific rule from anywhere in Clean Email for your Outlook email account. For example, you can create a rule to automatically delete all your social notifications after 2 months or move all your financial emails to a dedicated folder.
Here's how to do it with Clean Email:
1. Look for 'Smart Folders' in the left-hand navigation menu.
2. Choose a category of emails you want to manage, select all emails (or certain emails you need), and click the 'Create Rule' button in the blue action bar.
3. Use advanced filters to create the rule you want Clean Email to follow.
4. Click the 'Create Rule' button.
