This is a quick demo of the PLEXKITS Ultimate Tradeshow Checklist & Dashboard.
Summary
Today we'll be doing a quick demo of the PLEXKITS Ultimate Tradeshow Checklist & Dashboard Excel Template.
Once you download the Excel template, you are going to have something that looks like this. This version has a some example data entered for the purpose of this video, to help give you an idea of the capabilities of the Ultimate Tradeshow Checklist & Dashboard Excel Template.
You will notice there are 3 seperate tabs - Dashboard - Checklist and Details. You can quickly access these tabs using the links at the top of the excel template as well.
The Dashboard tab provides an overview of your progress so far in preparing for the tradeshow.
The Checklist tab, which is probably the reason you are here in the first place. The tradeshow checklist is a very detailed and itemized list of every task that needs to be completed for the tradeshow. We'll get into more detail of the tradeshow checklist tab in a moment.
The last one is the details tab, which is actually where you'll start when you download your copy. This tab holds all the main details about the tradeshow such as who will be attending from your staff, where the event will be held and what your budget is for the event.
I've entered sample information already, but when you enter your details the name of the show displays on all tabs, and all the task due dates are based around the date of the show you enter on this tab. The same goes for the attending staff members and emails as this information is used for all other tabs. Once you enter the venue details a link will show up that allows you to easily pull up a google map to the venue. I've entered a local venue that we attend shows at regularly, but this will work for any venue as long as you enter the proper details. You can see that when you enter a new name on the next line, it automatically includes it in all applicable place throughout the excel workbook.
Going back to the tradeshow checklist tab, this tab shows all tasks that will need to be accomplished to properly prepare for the tradeshow. All items are completely customizable and items can be added or removed at will. Each task has a unique ID number, a description, a stage, which is the time in the process that this takes places, a category, so that you can group like items for sorting purposes, and effort level which is an indicator of how much work is involved in completing that specific task. This ensures that not all tasks are created equal and you are able to properly gage how much work someone will have to do. Each item also has a task owner, which is a staff member that is assigned to that task, a due date which shows when a task should be complete relative to when the tradeshow takes place. The date turns red if it is late and still not completed. There is a section to add the actual cost of the task to compare it to the budget you originally set. A status which shows the progress of that task, such as in progress, not started or complete. And lastly a notes section, to add any relevant information you would like to store about that task.
A recent update with the Mail app, this feature is no longer compatible with Mac's Mail App because they don't support the Subject or Body text entry from links anymore, so I've removed it from the features list of the website, but if you happen to be using a PC with Microsoft Outlook this is a nice little extra feature. The reminder link will pop up if a task is not yet completed and the due date has passed. Clicking the link reminder link will create an email to the owner of the specific task and will say this is however many days past due.
The Dashboard tab is the face fo this template, it give you a quick overview of you progress in preparing the trade show. At the top of the page you can see the Percent Complete, Number of days until the tradeshow, number of tasks still left to complete, and how many tasks are late.
The middle graph shows a comparison of your tradeshow budget and the actual amount you have spent already as well as an indicator showing whether or not you are on track with your budget.
The graphs below show a break down of how many tasks each staff member and a breakdown of tasks by progress. The list on the right shows the 10 next tasks that need to be completed and their respective staff member.
